The cognitive layer that runs your operations

memmoo is not another workflow tool bolted onto your stack. It is a layer of judgement above it — observing every co-worker, rerouting broken work, directing the fleet and reporting on itself, while your records stay in the systems that already hold them.

A broken step does not stop the run — the cognitive layer retries it, routes around it and rejoins, and escalates to a human only when both attempts fail.
Architecture

Three layers of autonomy

From your tools, through your co-workers, up to the cognitive layer that runs it all. Data flows up, instructions flow down. Select a layer to inspect it.

01 — Self-healing

Silent failures disappear

When a process breaks — an API fails, a document format changes, an approval stalls — memmoo detects it, reroutes automatically, notifies the right person with full context, and resumes the moment it’s resolved.

Worked scenariomemmoo cognitive layerYour invoice workflowMax posts invoice batch to your ERPERP returns 502 — endpoint unavailableDetects the break, holds the batchRetries via the fallback route, notifies the AP ownerEndpoint recoversResumes from the exact failed record
  1. Detect

Every step is checked against its expected outcome, not just its exit code.

  2. Reroute

A fallback path runs immediately — a second endpoint, a different format, a queued retry.

  3. Notify

The accountable human gets the record, the cause and the state, not an alert code.

  4. Resume

Work restarts from the exact failed record. Nothing is double-posted.

02 — Self-directing

memmoo doesn’t wait for instructions

It surveys what each co-worker has done, what’s at risk, what’s pending — and directs traffic. If a lead pipeline is thin, it expands search. If invoices are overdue, it escalates. No human had to notice.

  1. Survey

Continuous read of the whole fleet’s state, not a scheduled report.

  2. Rank

Work is ordered by business impact and deadline risk.

  3. Direct

Co-workers are re-tasked and hand off to each other across departments.

  4. Escalate

When judgement is required, a named human is brought in with the full trail.

03 — Self-reporting

The cognitive layer writes its own accountability

Every Monday, your leadership team gets a briefing no human compiled. Every co-worker logs every action — so you always know what happened, why, and what’s next.

Worked scenariomemmoo cognitive layerYour leadership teamReads every logged action, every co-workerReconciles outcomes against the SOPWrites exceptions, causes and next stepsMonday briefing — no human compiled itAny figure drills into the action log
  1. Log

Every workflow action and AI credit is attributed to a co-worker and a run.

  2. Reconcile

Outcomes are compared to the SOP the co-worker was trained on.

  3. Brief

A weekly narrative with exceptions, causes and recommended next steps.

  4. Drill down

Any number in the briefing resolves to the underlying action log.

Anatomy of a run

What a run looks like

A run is one pass of one workflow by one co-worker. Each completed step in a business system is a workflow action; each unit of reasoning or generation is an AI credit. That is the whole billing model — priced per co-worker run.

  1. Trigger

An inbound email, a schedule, a webhook or another co-worker’s handoff starts the run. Triggers themselves are not billed.

  2. Extract

Reasoning over the document: fields pulled from the PDF, the line items classified. Mostly AI credits.

  3. Validate

Checks against your records — PO match, duplicate check, tolerance rules. A mix of actions and credits.

  4. Post

Writing into your system of record, then logging the outcome. Workflow actions.

i
A typical new-hire onboarding run — pulling the candidate from your ATS, validating documents and creating the record in your HR system — uses about 12 workflow actions and 20 AI credits.
Governance

Human in command

Autonomy is earned, never assumed. Every co-worker starts under human oversight and keeps a complete record of what it did.

01

Human-in-loop to start

Every new co-worker runs with approvals on. A named owner sees each proposed action before it is committed.

02

Autonomy after 50 runs

Full autonomous operation is unlocked after 50 successful transactions on that workflow — not on day one.

03

Override at any point

Pause a co-worker, revert to approvals, or take a single run back into human hands without stopping the fleet.

04

Full action logging

Every action, credit, input and outcome is logged and attributable. Audit trails are Standard, Advanced or Enterprise by plan.

Audit trails & workflow scheduling

Audit trails record who or what acted, on which record, with which inputs, and what changed. Workflow scheduling lets you fix when a co-worker may act — month-end windows, business hours, blackout periods — so autonomy stays inside your operating calendar. Scheduling is available from Growth; SSO/SAML from Transform; data residency on Enterprise.

Where your data stays

Co-workers run inside the systems you already use, so your records stay in your systems of record. Cloud co-workers act through your own cloud apps via API, under credentials you authorise and can revoke; on-device co-workers process locally and transmit nothing off the machine. What memmoo holds is the configuration you give a co-worker, the credentials you authorise and the action log that makes each run auditable.

Daily Buddy · TimePal · Inbox Buddy

These co-workers run entirely on your device — no cloud, no servers — so the files and messages they handle are not transmitted off the machine.

Data lives in your cloud apps — your QuickBooks, your Salesforce, your SAP. memmoo directs the work through their APIs; the records stay in the systems that own them.

The integration model

Co-workers connect to the systems you already run — through published APIs, webhooks, mailboxes, spreadsheets and document intake. Your discovery session and standard integration are included on every plan; multi-system or bespoke integrations are scoped separately. No system of record is replaced, and nothing is migrated.
